Skeptical Supervisors- how to talk about getting involved

So you've thought about it, you've been following the blog, and you've decided it's time to take the plunge and add your skills to the SSD pool. Welcome! You're going to love it around here.


One problem: how do you talk to your boss about taking on extra duties in addition to your already busy day? At first blush, it can sound like a tough sell. But never fear, because we've got a few tips and tricks for showing the benefits to a skeptical supervisor. Take this list, tailor it to your supervisor's concerns, and maybe you can bring them around!

I had a chat with Nancy Horner, the Adult Services Manager at the Eugene Public Library and supervisor of our very own Margaret Harmon-Myers, to see why she is so supportive of her staff's involvement with SSD and similar groups. She supervises eleven paraprofessional staff and ten librarians (soon to be eleven), so she has had lots of experience with support staff and how being involved can benefit a supervisor and the institution. Here's what she had to say:

  1. Getting involved "builds knowledge that increases confidence and pleasure in work." And when you like your work, you're better at it, happier, and more able to expand your skills.
  2. Support staffers who learn outside the workplace can bring back and share the things they learn, compounding the benefits across the entire staff. Nancy mentioned that among the many things her staff has brought in, she has especially appreciated the programming ideas, new services for their patrons, and improvements to the processes already in place. Often, her staff are able to "teach the teacher" so to speak, enhancing her work as well.
  3. When new equipment or services are offered in Eugene Public, it's often her staff who take the lead in instructing patrons in their use. In their new makerspace, her staff both created and implemented much of the teaching material for the public. Nancy thinks that getting involved was pivotal for giving her staff the confidence and know-how needed for the project. 
  4. Scheduling time for outside-the-library work has turned out to be pretty simple for Nancy and her staff. Their approach has been to use a flex-time model (made with guidance from the union her staff are a part of), which allows the library to easily compensate everyone for all their work regardless of whether that work takes place outside of regular hours. In their system, ALL professional development is considered work time.
  5. My last question for her was whether she had anything she'd like to say directly to a supervisor with worries about their staff getting involved with SSD. I'll let her speak for herself: "I would beg them to put those worries aside. The benefits to the institution, the people we serve, and colleagues are impossible to count. We should celebrate anytime anyone wants to increase their knowledge. It's always a gain. If anyone's on an upward path it becomes a rising tide that lifts all boats. Really, an inspiration. All of the paraprofessionals on our staff inspire one another and grow stronger as a team in everything that they do."
I couldn't have said it better myself. According to Nancy, Margaret is an exceptional support staffer, even receiving an award for service from OLA at Nancy's recommendation. To me, that stands as a testament to both her work ethic and commitment as well as the power of getting involved. Put simply, being an SSD member makes you a better employee, and we can make sure your daily work is minimally impacted to boot.

Wow! So many of you have already signed up for the OLA SSD Conference, and we’re really looking forward to seeing you next week! Book Repair at OLA SSD 2015

It’s that time of year again- Spring is wrapping up, and we know what comes after that- July 17 which is the OLA SSD conference

old books.jpgBack by popular demand is the day long “Basic Book Repair for Libraries” session. This session will cover the basics of book repair for circulating items, materials to be used, and different techniques to repair books like a pro. This is an all-day session and will run from 8:00am-4:00pm, Friday July 17 in Newport, OR. 

This session only has the capacity for 9 more participants so you’ll want to register ASAP! Once those 9 participants have been registered any additional ones will be wait-listed. The session has a $30.00 supply fee, in addition to the conference registration. If this sounds like a session you’d like to attend, don’t wait! This is a small session, so register now to make sure you get a spot.

OLA SSD 2015 Conference is now open for registration!



It’s time to make the announcement you’ve all been waiting for- registration for OLA SSD 2015, is now open! Use the online form to select your sessions and register for the conference. If you hurry*, you can make the early bird registration and save $10!

Some important details- the conference, titled “Many Roles, One Goal: Meeting the Needs of Our Communities” will take place at the Best Western Agate Beach Inn in Newport, OR. The conference is Friday July 17 and runs from 8am-4pm. Your registration fee includes breakfast, lunch, AND delicious snacks. We have fantastic speakers and sessions all day with content designed to be relevant and useful to all different library types.

If you’d like to stay at the Best Western please give them a call at (541) 265-9411 and mention the conference- you’ll get a nice discount! Discounted rates are $119 (hillside view) or $135 (ocean view) (plus taxes and fees). Registration is open until Sunday July 12.

OLA SSD 2015 Conference update and keynote speaker

OLA SSD 2015 conference planning is in full swing, and we have two exciting announcements!

Registration for the conference will be opening soon. This is a little earlier than normal but we know all of you are excited to start planning your trip to fabulous Newport, OR for this year's conference! Keep your eyes posted here and on Libs-OR because we'll be announcing the dates for registration soon. Remember, the conference happens Friday July 17 so make sure that date is on your calendar.

We're delighted to announce that Janet Webster will be the keynote speaker for the OLA SSD conference. Janet was the Head Librarian of Oregon State University's Guin Library at the Hatfield Marine Science Center until her retirement and in 2013 OLA awarded her the OLA Distinguished Service Award. Janet's background and experience will fit well with this year's theme of "Many Roles, One Goal: Meeting the Needs of our Communities". We’re looking forward to announcing more of our fantastic speakers soon!

Save the date!

Mark Friday July 17th 2015 on your calendars because that’s when the 2015 OLA SSD Conference is happening! We’re looking forward to seeing all of you at the Best Western Agate Beach Inn in Newport, Oregon for this year’s conference.

We are having an OLA-SSD Open House!


When: August 15th from 1:00-2:00pm

Where: Gresham Library, 385 NW Miller, Gresham Oregon 97030


There is free parking and the Gresham Tri-Met Transit Center is very close by.


There will be a short presentation, light refreshments, and time for questions.

All interested Oregon library support staff are welcome to attend to find out more about SSD and get your questions answered live and in person. Support Staff Division is a great way to meet other library staff in similar jobs from around the state and find out what is going on beyond your own library, as well as a fulfilling way to get involved and give back to the library community in Oregon. We have opportunities open to help plan the annual SSD conference, as well as some open board positions.

Did you know? If distance is a factor for you, the SSD meetings can be often be done on a computer, virtually, to minimize time & travel expenses.

As always, scholarship help to join OLA SSD is available.

The OLA 2014 conference and SSD

I had a great time at the 2014 OLA conference last week, attending informative and thought-provoking sessions, and chatting with colleagues I hadn't seen recently.  SSD sponsored a number of sessions, in addition to a pre-conference.  I was impressed with the two SSD sessions I attended.

The first, "Oral History and Libraries: a Perfect Fit", highlighted Lake Oswego Public Library's "In Their Own Words II" project.  I was impressed at how much they had accomplished, and it really got me to thinking about the importance of capturing oral history.  (Alas, since I was on the conference committee, I had to leave that session early).

The second, "Our First Digital Collection: Starting From Scratch with Nothing", reviewed Multnomah County Library's first digital collection: Central Library: Historic Photographs.  Mostly using tools they already had, great organization, and some in-house crowdsourcing, they were able to get the collection ready for the Central Library's anniversary.  The presenter gave excellent advice about planning and project management.

Major kudos to SSD for providing such great programming!

Cool things going on in the library world

The March edition of Associates is out.  It is an online publication written and organized by global library support staff.  I had more time this week than usual to read the articles. I particularly enjoyed Sally McMaster's account of stepping into the role of President of the NYSLAA (New York State Library Assistants' Association) and organizing a conference, never having done so before.  It's so closely parallels what I've heard board members/committee volunteers talk about in SSD - it's challenging, but the past chair and other board members are there to help and they always have an amazing experience.  The NYSLAA also seems to have the same goals and aspirations to support library paraprofessionals in their jobs as we do at OLA-SSD. It was cool to read about a similar organization doing a similar thing on the other side of the country.  Check it out.  (The books-to-movies discussion was a good read, too.)

April 16th is fast approaching!  What is so special about the 16th?  This year, in case you haven't heard, we're joining up with OLA and sponsoring sessions at their conference.  You can see a list of the sessions on our 2014 conference page.  One thing that piqued my interested was the announcement that Phillip Margolin will be speaking at the PLD (Public Library Division) banquet on the Wednesday 16th.  And you all know Josh Hanagarne, the "World's Strongest Librarian" is the banquet speaker on the 17th, right?

No Gateways Conference this year, however, we have options!

Regretfully, due to unforeseen circumstances, the Support Staff Division’s annual Gateways Conference will not be held this year.
 
The SSD Board however is pleased to offer SSD members a $40 scholarship to offset the cost of attending the 2014 OLA Conference, held April 16  18 in Salem, where Support Staff Division is sponsoring several sessions.  The scholarship may be applied to a pre-conference, to one day's attendance, or to the whole conference. 
 
To receive your scholarship, send your receipt of payment for registration for the 2014 OLA conference to: Rea Andrew, SSD Treasurer, Newberg Public Library, 503 E. Hancock St., Newberg, OR 97132.
 
SSD will host a gathering for all library support staff at the OLA conference on Thursday April 17th at 5:30 PM.  Please join us and hear more about how you can connect with SSD.

World's tiniest books

I couldn't resist posting about this. Have you ever seen such adorable books? The books described in this article about a serious collector are: "By definition, miniature books are properly printed and bound, and for the most part no larger than three inches."  I think shelving them would present the average shelver with a whole new set of ergonomic challenges.

The National Medal for Museum and Library service has been announced. Libraries in our northern and southern neighboring states are included in the list of honorees. Congrats!

5 Tips for Providing Great Customer Service To Your Coworkers

Jennifer Steward, Circulation Analyst for Multnomah County Libraries, is with us again to give us her expertise in customer service.  You may have seen her excellent presentation with Patti Vincent at our recent Gateways Conference.  We hope to make this a regular feature.  Welcome, Jennifer!
 
Five ways to give awesome internal customer service in your library by using your excellent public service skills:
  • Set a pleasant and professional tone.
It is surprising how much one person's calm and helpful tone elevates the whole conversation. If you smile, you will probably get a smile back.
  • Be as courteous. 
As with family, it can be easy to fall into comfortable shortcuts and forget please, thank you, etc. with coworkers. Why would you be less courteous to the people on your team than you would to a stranger?
  • Use your good communication skills -- listen(!), ask questions and summarize to reach understanding.
Before you dismiss a coworker's suggestion, use your interview skills to figure out what is important to this person and how you might be able to meet her need or at least find an acceptable compromise.
  • Keep an eye out for people who need help.
This works in both in public and staff areas. If a coworker is having a difficult interaction, stand by and let him know you are paying attention. If someone is struggling with a task, offer to help out. Always ask if you can help first -- or just ask if everything is OK -- in case he has it under control.
  • Be a reliable source of information.
Library staff pride themselves on giving only quality information from a credible source to patrons. Why would you or your coworkers deserve less? Before you pass on the latest gossip, make sure your information is true -- and kind.

OLA SSD 2012 Conference Registration Now Open

Registration is now open for the 18th annual OLA Support Staff Division Gateways Conference: Support Staff -- Changing Lives Every Day! The conference will take place in Eugene, Oregon on Friday, July 20th at the Valley River Inn.

We are offering several incentives to encourage staff to participate in this year's conference and include:
  • If your library/system registers 3 attendees, the 4th attendee conference registration is free.
  • If you are traveling more than 150 miles (one way), you may be eligible for a $50 travel assistance scholarship (one scholarship per vehicle).
  • Early bird special! Save $5 per registration. Early bird rates apply to registration before June 20.

Although you will feel like you are miles away, Valley River Inn is a hotel conveniently located near downtown Eugene, Oregon, in the heart of the city. The Willamette River, Eugene's largest shopping mall, and miles of scenic bike paths are just outside the doors. Valley River Inn is concluding a renovation of its guestrooms, meeting space, public space and Sweetwaters Restaurant. Everything will be renovated by the beginning of June, in time for the conference.
